We are currently looking for a well-organised and dedicated Programming Assistant, with an indepth knowledge or understanding of classical music, to provide secretarial and administrative day-to-day support to our Director of Music and Classical Music Programmer. This broad and exciting role gives you the opportunity to be be fully and proactively involved in all aspects of the music programming department, alongside providing invaluable support to senior members of the team.
You will provide a high level of PA support to our Director of Music by; managing her diary efficiently ensuring the best use of time, email inbox management, preparing the Director of Music for all meetings; undertaking all travel and finance administration; managing all correspondence and invitations; and acting as well-informed a first point of contact for the Director of Music.
The Programming Assistant, Classical Music also provides key support to the Classical Music Programmer. You will undertake all finance, travel and contract administration for the department, including: taking responsibility for the Classical Music programming log; drafting, then issuing approved artist contracts and ensuring signed copies are returned; actively monitoring the department’s annual administration budget; researching travel, instrument and music hire quotes when necessary; working with the Classical Music Programmer to produce accurate budgets for all classical music concerts and projects and keeping them up to date; and ensuring Artifax, Southbank Centre’s event management system, is kept up to date with the latest information on rehearsals, performances and that all events on the system are set up correctly.
You will also have the opportunity to suggest creative ideas, research artists and projects, undertake repertoire research when required and provide support at events, attending concerts representing Director of Music and Classical Music Programmer when appropriate.
With demonstrable experience of providing a high standard of PA and administrative support, including managing multiple diaries; the ideal candidate will be able to manage their own time, prioritise a heavy workload and work well in a fast paced environment. You will have outstanding administration skills, excellent IT skills and high levels of accuracy in work produced. With strong written and verbal communication skills, you will be able to work well and communicate with a wide range of people, including internal and external stakeholders, with tact and diplomacy and be confident in your ability to handle confidential matters with the utmost discretion. Finally, you will be ready to combine your existing PA and administrative experience with your keen interest in a broad range of artforms and an indepth understanding of classical music to support our Director of Music, Classical Music Programmer and the wider team in the planning and confirmation of a diverse classical music programme through Southbank Centre events and festivals.
