JOB SUMMARY
Who we are looking for:
Someone who has worked in a busy office environment for more than one year
You will have experience of working in a busy office and reception area, which is at the heart of the Talent House and the first port of contact for visitors, artists, tutors, students and those who are part of our talent development programmes
You will be hardworking, enthusiastic and enjoy working with other people and the public
You must be able to provide Arts Admin support and assistance to the Studio Manager in the first instance but also other UD staff
You will be responsible for a wide variety of administrative tasks including dealing with enquiries, by phone, email or in person and supporting data capture for those benefitting from our programmes
You should be keen to help us develop our system and services to improve the efficiency and effectiveness of the organisation
This job description is not an exhaustive list and we will expect you to carry out any other activities which may reasonably be required in accordance with the needs.

The key tasks are to:
Act as the first point of contact for all visitor and telephone enquiries to ensure a high-quality customer experience
Manage room bookings via the Nexudus system (training will be provided)
Support member management (paperwork / processing)
Regularly collate data to inform reports and evaluations, using spreadsheets or our CRM software
Assist with general house-keeping and day-to-day site operations
Assist in updating areas of the website and social media platforms
Assist in marketing via social media platforms
Deal with daily incoming and outgoing post & deliveries.

SKILLS NEEDED
You will have at least 1 year’s previous experience working in an administrative role, either in a small creative company or start-up or for a not-for-profit organisation
Have experience in providing admin support in a busy environment
Have good writing skills and the ability to draft emails, forms, notices and letters
Good communication.

WORKING HOURS
pro rata Monday through to Friday, with occasional evenings and weekends

HOURLY RATE
12.50 per hour

ADDITIONAL EMPLOYABILITY SUPPORT
Mentor: the Arts Administrator and Head of Operations
Via induction period (3 months) and ongoing Professional Development
Accredited courses, where applicable to the role, and to meet skills gaps

General support
Using Nexudus the CRM system and marketing software
Training on google suite of word processing, file management and googlesheets
Templates and systems for day-to-day business administration
Xero and basic book keeping
Team meetings, understandng operational systems and business development.

If we are unable to keep the succesful candidate on after the placement we will support them with helping to find further employment. Including writing a CV, goal setting, helping with interview technique, doing job searches and networking.
